Setup

How long does setup take? About five minutes: connect Webflow, connect Xero or QuickBooks, map a revenue account. See Getting started.

Do I need Zapier or Make? No. Xaldro is a direct, native integration, no per-task fees and no broken multi-line orders.

Can I use both Xero and QuickBooks? Yes, on Growth and up. Every order posts to each connected system independently. Starter is one provider.

Does it work with a QuickBooks sandbox? Yes, Xaldro works with both sandbox and production companies.

Syncing

When do orders sync? In real time via Webflow webhooks, usually within seconds. On install, the last 90 days are backfilled too. See Importing past orders.

What does an order become? One approved invoice per accounting system, with a line per product, plus shipping and discount lines, the mapped tax, and the Webflow order number in the Reference. See What syncs where.

Will it ever create duplicate invoices or customers? No. One order maps to exactly one invoice per system (idempotency keys), and customers are matched by email. See Customers & contacts.

An order is not syncing, why? It is likely held (a mapping is missing, or the total would not reconcile) or skipped by a sync rule. Open it on the Orders screen for the exact reason. See Troubleshooting.

Invoices & payments

Why is my invoice showing unpaid? You have not mapped a clearing / bank account. Map one and the invoice posts as Paid. See Payments & the clearing account.

Are invoices posted as drafts? No, they post as approved invoices, ready to go.

Does it deduct Stripe or PayPal fees? No. Xaldro records the amount the customer paid, matching Webflow exactly. Record processor fees when your payout hits your bank.

Tax

How is tax handled? You map a tax code (a default, plus optional per-region rules). Xaldro applies it and checks the invoice total matches to the cent. If tax is charged but no code is mapped, the order is held rather than posted short. See Tax & VAT.

Do you file my VAT or sales tax? No. Xaldro posts the correct codes so your books are right, it is not a tax-filing service.

Refunds & changes

What happens when I refund an order? When you refund an order in Webflow, Xaldro creates a matching credit note (Xero) or credit memo (QuickBooks) for the full order total, allocated to the original invoice. See Refunds & edited orders.

What if I edit an order after it synced? The posted invoice is left unchanged and flagged for review, so nothing changes in your books behind your back.

Account & data

What happens if I uninstall? Nothing disappears. Invoices, contacts and credit notes live in your own Xero or QuickBooks. Xaldro simply stops syncing new orders.

Is my data safe? You connect via official OAuth (we never see your password), tokens are encrypted at rest, we hold read-only access to Webflow, and no card data ever touches Xaldro. EU-hosted, GDPR-ready.

Can I pause syncing? Yes. Pause a site anytime, your data and connection are kept, and Resume needs no re-authorizing.

Can I manage multiple stores? Yes. Connect multiple Webflow sites, each pinned to the right client's books. See Team & permissions.
