Customers & contacts
Every invoice needs a customer. Xaldro handles this for you and, importantly, never creates duplicates.
Matched by email, never duplicated
When an order syncs, Xaldro looks up the customer by email address in your accounting system:
- Xero , finds the contact whose email matches the order. If one exists, the invoice attaches to it. If not, a new contact is created with the customer's name and email.
- QuickBooks , finds the customer whose primary email matches. If one exists, it is reused. If not, a new customer is created.
So a repeat buyer always lands on the same contact, no matter how many orders they place. You will not end up with a pile of duplicate "John Smith" records.
What the contact looks like
- Name , the name from the Webflow order. If an order has no name, the email is used as the name so the contact is never blank.
- Email , the order's email, which is also the match key.
Xaldro creates a lightweight contact (name + email). It does not overwrite an existing contact's address, phone, tax number or other fields, so if you have already enriched a contact in Xero or QuickBooks, that detail stays intact.
If the customer already exists
If a customer already exists in your books under the same email, Xaldro attaches invoices to that existing record rather than creating a second one. This is the common case for stores migrating in, your existing customers just start receiving Webflow invoices.
Edge cases
- Same person, two emails , if a buyer checks out with two different email addresses, they become two contacts (there is no reliable way to know they are the same person). Merge them in Xero or QuickBooks if you want them combined.
- QuickBooks display-name clash , QuickBooks requires customer display names to be unique. If a new email would create a customer whose name already exists, Xaldro reuses the existing customer instead of failing the sync.
- No email on the order , rare, but if Webflow sends an order with no email, the invoice cannot be attached to a contact and the order is held. Add the email in Webflow and retry.
Uninstalling Xaldro never deletes your contacts or invoices, they are real records inside your own Xero or QuickBooks organisation.
